Children’s Camp Cancellation Policy

Introduction

Baxter Arts Centre is a not-for-profit organisation that relies on Children’s Camps to support year-round operations and administration. In 2025, Baxter had over 350 children attend our camps with many camps selling out within 3 minutes. Due to demand and popularity, BAC requires a Cancellation Policy to allow us to efficiently manage programming cancellations and keep camp accessible.

Baxter’s General Cancellation Policy

Introduction

Baxter Arts Centre (BAC) is a not-for-profit organisation that runs year-round programming. Our community is at the heart of what we do. To keep programming fees as low as possible, we often offer PWYC (Pay-What-You-Can) programs. For programs that are led by an instructor, we charge a registration fee to cover wages and materials.

PWYC Open Studio & Workshops

PWYC (Pay-What-You-Can) programs are often set up as drop-in or “save your spot,” with an option to sign up online. They may be one-off workshops or regular weekly drop-in Open Studio sessions. We encourage you to pay cash at the door for these programs. Should a PWYC class be cancelled, any amount paid online as part of signing up for a program will be considered a donation, and a tax receipt will be issued for all donations of $25 or more.

The Baxter Arts Centre Mission & Mandate

The Baxter Arts Centre is a not-for-profit registered Charity that provides a creative community space for the delivery of arts related programs and services from our building in Bloomfield, Ontario.

It also operates as a small community centre, available for rental for parties, lectures and other events. The building was acquired in June 2011, with the purchase price, renovation cost and furnishings paid for primarily with donations and some grants. Initial programming commenced in the fall of 2012 and the Centre has continued to evolve and expand ever since.

Every child deserves the opportunity to explore their creativity, build confidence, and make lasting memories through the arts. Your donation to our Send a Kiddo to Camp Campaign makes this possible for local families who couldn’t otherwise afford to participate.

How It Works

Donate Any Amount - Your contribution goes directly to our camp fund, when the fund reaches enough to pay for a camp, we contact a family on our Nomination List.
Nominations - Families who would benefit from a free week of camp are Nominated through an online form.
Kiddos Attend - Recipients make new friends and explore at one of Baxter’s Kids Camps.
Magic Happens - Children discover new talents, make friends, and build confidence.

Registration Opens in FEBRUARY.

Many camps sell out within minutes. Due to demand, we can not guarantee a space in camp, even those placed in your “Cart”.

Programs at Baxter

Baxter offers year-round programming both on-site and around the County with our Baxter Field Trip initiative. As a community centre, we actively work with you to create the programming you want! Let us know what you are looking for by contacting our Program Director.

Programming is divided into four Sessions. We announce each Session in our Newsletter a month in advance. Due to demand, Camps are announced even earlier, with Summer Camp registration in February.

Winter Weather Cancellation Policy

Severe Winter Weather Cancellation Policy

Baxter Arts Centre is committed to ensuring a safe experience for all of our workers, volunteers, and participants. In pursuit of this, Baxter Arts Centre will respond to the local hazardous weather conditions as needed. With limited parking and snow clearing capabilities, we need to ask our community to be patient when extreme weather arrives.

Policy

Baxter Arts Centre will remain closed and all programs will be postponed and/or cancelled on days with severe winter weather (eg. freezing rain, substantial snow accumulation, snow squalls) that necessitate road closures, or local school bus cancellations (or similar weekend weather). In these cases instructors will be informed, and a notice will be posted on the website and social media as soon as possible. Classes will be rescheduled whenever possible, if not possible participants will be reimbursed at a prorated cost.

Workplace Anti-Harassment Policy

Baxter Arts Centre is committed to ensuring a workplace free of harassment, bullying, and discrimination. In pursuit of this, Baxter Arts Centre will not tolerate any harassment, bullying, or discrimination. Baxter Arts Centre is further committed to investigating any complaints regarding workplace harassment, bullying, and/or discrimination, using the method of progressive discipline, up to and including the point of termination of work for the perpetrator(s).

Canada’s Criminal Code specifically lays out matters such as violent acts, sexual assault, threats, and behaviours such as stalking. In the event of any of the above, Baxter Arts Centre will immediately contact the police.
